1. Over 20,000 Sheets of Paper Saved Annually by Storing Tender Documents Electronically

Since the rollout of a repository to store and manage tender documents electronically on the Financial Information System in 2010, over 20,000 sheets of paper have been saved annually. It enables users of the Business Office to retrieve tender documents quickly without the hassle of searching through piles of physical folders.

With documents from around 450 tenders, involving over 100 departments, being put online every year, duplicate copies of these documents are no longer needed as they can now be distributed electronically and safely to departments without the risk of them being lost in transit. Document retrieval time is also reduced tremendously when the documents can be searched using various metadata and a full text search by keywords. Part of the metadata maintenance is automated in order to reduce the amount of data entry. Search results also facilitate the Business Office to produce annual reports about tendering activities. 

Storing tender documents electronically enables users of the Business Office to retrieve tender documents quickly without the hassle of searching through piles of physical folders.
