1. Highlight for Staff: CUSAP System Launched – An Easy Access to Financial Information

The University has been using the SAP ERP system since 1996 and named it as CU SAP Financial System (CUSAP). CUSAP has been primarily used in a centralized manner by the Bursary, a few pilot departments and all colleges. In response to high demands for real-time financial information as well as e-form and e-workflow procedures in recent years, the University has commissioned a project on decentralization of CUSAP with a view to exploiting the full benefits on:

  1. access up-to-date financial information online by budget holders;
  2. utilize self-service functions and management reports;
  3. derive single version of financial information by eliminating unnecessary shadow accounting at department/unit level and saving effort from data reconciliation with the Bursary;
  4. improve efficiency by e-form and e-workflow procedures; and
  5. ensure accountability and system security, as users no longer need to share accounts on an unnamed basis.

A Steering and Advisory Committee chaired by the Bursar has been set up to oversee the entire CUSAP project.  The Committee is supported by the Project Working Group with members from ITSC and Bursary, and by the Focus Group with 80+ representatives from faculties, colleges and administrative units respectively.  The work plan has received the support from Provost and Pro-Vice-Chancellor (Administration).  Briefing and demonstration sessions have been conducted in November and December 2015, which provided attendees with a preview on the functions and features of CUSAP and how these could facilitate efficient financial operations in departments.

With additional licenses acquired, the usage of CUSAP can be deployed to departments and project principal investigators (PIs) by two phases:

Phase 1: Retrieval of real-time financial information by budget holders
Phase 2: Implementation of e-forms in CUSAP after system enhancement.

Phase 1 of the project was launched on 25 January, 2016, enabling around 2000 budget holders and their delegates to access real-time financial information of cost centres and projects under their purview in CUSAP (e.g. real-time fund balances and transactions details including commitments, vendor payment status, purchase order information, fixed asset information, financial statements, etc.).
